FY 2027 funding and renewal of Town contracts

DATE(S) OF PRIOR COUNCIL CONSIDERATION OF THIS ISSUE:
On June 2, 2025, Council approved FY26 Town contract renewals and funding in the amount of $9,025,000.
EXPLANATION AND SUMMARY:
For recurring purchases, the Town establishes contracts, which include the option of annual renewals. Each contractor on the attached list provides the required and/or essential services for Town operations managed by the Department of Public Works (DPW). Each contract is multi-year and subject to annual renewals.
DPW requests authorization for nine annual contract renewals and to expend FY 2027 funds with the respective 15 vendors in a total amount not to exceed $8,045,000 as listed in the attached table.
As background, this FY27 request is in a smaller amount than the FY26 request that was approved on June 2, 2025, because one of the contracts has expired and is being re-solicited. Approval to award that contract will be requested separately at a future Council meeting.
Next Steps: Approve continuation of services utilizing contracts issued by the Town of Vienna starting July 1, 2026.

Departmental Recommendation:
Recommend approval to renew existing Town contracts and approve the use of FY27 funding.

Town Attorney Recommendation: The Town has competitively bid the contracts referenced and each has an option for renewal. The Town Council may approve the proposed contract renewals, in whole or in part, and/or direct staff to solicit new bids for the contracts listed.
Town Manager's Recommendation: I recommend the Town Council approve FY 2027 one-year contract renewals and expenditures, as presented.
