Contract Renewal for SunGard Public Sector ASP Hosting Fees

EXPLANATION AND SUMMARY:
SunGard Public Sector is the computer system the Town currently uses for real estate and vehicle license billing. The multi-year, fixed-price contract for financial system hosting (ASP) and maintenance expired June 30, 2016. Since the Town plans to convert the systems to Tyler Munis, we switched to an annual contract in FY2017.
The system conversion for real estate and vehicle license fees involves file transfers from the county and has proven to be more challenging than other conversions to Tyler Munis segments. The go-live date is now August 2017, in FY2018. Accordingly, we need to extend the contract for six more months to allow enough time for revenue system conversion to Tyler Munis and to give the Finance Department a window for archiving all historical data held by SunGard, including W-2 and general ledger data from 2010-15. The Town's contract also includes maintenance on eight system modifications for real estate and vehicle license billing. The total cost for six months in FY2018 is $3,346 for modifications and $25,050 for ASP hosting fees for a total cost of $28,396.
The Tyler Munis conversion and implementation is scheduled to be completed by August 2017. No further SunGard maintenance will be required after this December.
