EXPLANATION AND SUMMARY

 

The Department of Public Works Vehicle Maintenance requests approval to purchase the following vehicles as outlined in the VRP:

 

                     DPW Street Maintenance Vehicle Replacement #66 - PipeHunter Truck-Mounted Sewer Jetter on an international chassis from HGACBuy contracts #SC-01-18 and #HT-06-18 with options listed on the attached contract price sheets.  Costs for the Jetter equipment ($123,610) and International truck chassis ($82,593) total $206,203.  VRP estimated cost: $252,587.

 

                     DPW Water & Sewer Vehicle Replacement #82 (pickup truck) - Purchased utilizing eVa Contract #E194-73326 for 2019 Ford F-150 pickup trucks.  Actual cost for the pickup is $23,849.30.  The VRP estimated cost is $29,062.

 

                     Three Police Motorcycles VRP #s 3, 6, and 8 under the Police Department’s Traffic Division - MCB Cycles LLC dba Harley-Davidson of Quantico was awarded the Prince William County Contract #5005425 for 2019 Harley-Davidson police motorcycles. Actual cost for the motorcycle is $22,995.20 each. VRP estimated cost of $33,408 each. 

 

The VRP estimate for replacement of all of these vehicles was $381,873; however, the actual cost will be $299,037.90, a savings of almost $83,000.

 

Departmental Recommendation:  Recommend approval.

 

Finance Recommendation: Recommend approval.

 

Purchasing Recommendation:  All contracts are current and rideable.  Recommend approval.

 

Town Attorney Recommendation:  The Town may ride the listed cooperative procurement contracts for the proposed purchases of the listed vehicles or solicit bids in the discretion of Town Council.

 

Town Manager's Recommendation:  I recommend the Town Council approve the expenditure of $299,037.90 for the replacement of the identified vehicles within the Vehicle Replacement Program, as presented.

 

Cost and Financing: $299,037.90 (Vehicle#66 $206,203; Vehicle#82 $23,849.30 & Police Motorcycle #’s 3, 6 and 8 $22,995.20 each totaling $68,985.60)
