EXPLANATION AND SUMMARY:
Town of Vienna Vehicle Maintenance implemented fleet software in 1987. The software was fully supported and updated yearly until 2015. The current fleet software is no longer supported and has been experiencing some minor functionality and update issues. (With each Windows/computer update, there is a possibility the program will no longer be compatible.) It is vital that a new software program be implemented before 30+ years of fleet history is lost. Vehicle Maintenance requests permission to purchase new fleet management software, CollectiveFleet from Collectivedata, riding Insight/US Communities IT Products, Services, and Solutions Contract No. 4400006644. The quote includes an historical data import.
CollectiveFleet is a web-based asset management solution that's designed to help organizations track and report on their assets while improving productivity in daily operations. The base system includes a comprehensive set of tools that are configurable to meet the Town's requirements.
Departmental Recommendation: Recommend approval.
Finance Recommendation: Recommend approval.
Purchasing Recommendation: Recommend approval.
Town Attorney Recommendation: The Town may ride the referenced contract or solicit bids for the proposed fleet maintenance software in the discretion of Town Council.
Town Manager's Recommendation: I recommend the Town Council approved the proposed expenditure to purchase new fleet management software.
